Terms and Conditions for workshops and events
Booking policy
Payment in advance by BACS transfer or cheque is required in advance of attending sessions in order to secure your booking. At request, spreading payments over an agreed time frame is fine. It is also essential that the registration including medical information is completed at least 48 hours before the session.
Cancellations of sessions/ workshops
The sessions will go ahead in most weather conditions. However in high winds, outdoor sessions may be postponed as the woodlands we use close the area for safety. Please check your emails in the morning before you leave in case of this.
If the event goes ahead in adverse weather (e.g. rain or snow), we don’t offer a refund; we feel that lots of cosy layers and a campfire should keep us cosy and happy. We only cancel if the winds are above 25mph or there is a combination of extreme cold and high wind or freezing rain. If a session is cancelled due to adverse weather we shall offer you credit of the full amount paid to use at a rescheduled or future event. We cannot, however, compensate you for travel or other costs incurred.
We reserve the right to cancel in the event of facilitator’s ill health or not enough participants to run the event.
We also reserve the to right cancel if participant numbers are low. This is because small groups can sometimes feel exposing for some participants and because the venue and equipment costs are high and must be covered in order for the event to go ahead. We will try to give you as much notice as possible.
If we do need to cancel for these reasons we will refund to you all deposits and payments you have paid us. We cannot, however, compensate you for travel or other costs incurred. We strongly advise taking out insurance in case of this.
In the event of a cancellation, we shall contact you by email or text as soon as possible before the event.
Safeguarding
We have policies and procedures related to safeguarding for both clients and staff, which we can provide for you to read on request. If you have any questions relating to safeguarding in relation to a child or vulnerable adult then please contact us. We provide confidentiality in relation to information shared with us by service-users, except in circumstances where disclosure makes it a legal obligation to share information with appropriate professionals.
Privacy
Any personal information, stored on paper, relating to adults or children attending sessions will be destroyed after they have finished their attendance. Emails provided for booking purposes will not be automatically added to our mailing list, you will need to subscribe to our list to receive regular news and updates.
Refunds
4+ weeks before the workshop you will be offered a full refund or a change of date.
2-4 weeks before the workshop you will be offered a 50% refund or a change of date.
Within 14 days of the workshop, unfortunately, we are unable to offer a refund or change of date. In this case, we suggest you give your place to a colleague or friend. This is because we are a small company and we have to pay all of our staff (and venue /equipment costs) regardless of cancellations, our margins are low as we want to keep prices low and affordable.
Please email to arrange a name change for a ticket and so that we can get the health details of the new attendee.
